After a certain period of operation, we came across areas in our operation that could be gradually covered under the information system. These were mainly time records of developers on projects, financial and time evaluation of projects, asset records and internal information.
We could have gone to off-the-shelf solutions, which we actually did initially, but the costs grew not only with the number of tools but also with the number of users. And the sooner we developed the IS, the cheaper it would be and it would pay for itself in time.
It was necessary to identify all the modules, what we want from the IS, how to interlink these modules and make the information useful and interactive. We drew inspiration from many systems, taking only the best, there was no need to invent already great UX elements that work.
Rather, the real challenge comes in the form of backend programming, where there is a lot of emphasis on optimizing data transfers, security, modularity and speed.
The resulting system consists of eight modules. Projects have their teams, customers, timesheets and cost items linked. Everything has its own detail and interactive items to click through throughout the system.
Modules have their own reports that plot useful data over periods of time. Everything gives us a lot of important information about whether we are operating efficiently, where we have weak spots, what can be improved, where to move forward.
Our TwoDo IS has become part of our daily work routine, where we keep track of everything. We've cut out a huge amount of unnecessary administration and can use a self-maintained product that we're proud of.
It's great that something like this came about in time, and we're saving money on potential third party services every day. We definitely plan to continue to scale IS to the detail we need.
